VRchitects (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, contact us, request information about our architectural services, engage us for a project, or when we reach out to you about our services. 2. Information We Collect

Information you provide.

When you contact us — through our contact form, by email or phone, or through direct communications — we collect the information you choose to give us, such as your name, email address, phone number, project type, project budget and timing, message content, and any other details you submit.

Client and project information.

When you engage us for architectural services, we collect information needed to perform the work, including your property address, project plans and drawings, project specifications, and related records. Project documents are retained as business records and as instruments of service.

Information we receive automatically.

When you visit our website, our hosting platform and service providers automatically receive limited information necessary to serve the site, including your IP address, browser type, device information, referring page, pages viewed, timestamps, and approximate location derived from your IP address.

Information from other sources.

We may also collect information about prospective clients from other sources, including: publicly available government records, such as building-permit filings, which may include a property owner's name, property address, permit status, and listed contact information; lead-generation platforms where you have submitted an inquiry indicating interest in services like ours (for example, Meta lead forms or Houzz); business-contact databases and enrichment providers; and referrals.

3. How We Use Information

We use information to respond to inquiries; provide requested information and evaluate potential projects; provide architectural services to clients; market our services, including contacting property owners who may benefit from our services (for example, owners of properties with pending or stalled permit applications); operate and secure the website; improve website performance; maintain business records; and comply with legal obligations.

If we contact you and you would rather not hear from us, every marketing email includes an unsubscribe link, and you can ask us at any time — by email or during a call — to stop contacting you. We honor those requests.

4. Service Providers and Third Parties

We share information with service providers that help us operate our business, only as needed for the purposes described above:

Framer B.V. — the hosting platform and content management system this website is built on. Framer processes visitor requests to serve the site and may collect basic visitor analytics (page views, referrers, aggregated device information). Framer acts as our service provider under a data processing agreement.
HubSpot, Inc. — our customer-relationship management provider. When you submit our contact form or a landing-page form, the information you provide is transmitted to HubSpot so we can respond and keep a record of the inquiry. Our HubSpot instance is hosted in the European Union (Frankfurt, Germany).
Google LLC — we use Google Analytics 4 to understand aggregate site traffic, configured as described in Section 5. We also load web fonts from Google Fonts, which transmits your IP address to Google as part of the font request.
Lead platforms — if you submit an inquiry through a third-party platform (such as a Meta lead form or Houzz), that platform provides us your submission and handles your information under its own privacy policy.
Professional advisors and consultants — including lawyers, accountants, engineers, and surveyors engaged on client projects.
Government authorities — where required by law or legal process, including permit submissions made on behalf of clients.
Successors in interest — in the event of a merger, acquisition, financing, reorganization, or sale of business assets, subject to standard confidentiality protections.

Our website may include links to third-party sites or services, including social media, embedded media, or maps. Those third parties may collect information under their own privacy policies when you interact with them.

5. Cookies, Analytics, and Similar Technologies

Our website shows a consent banner on your first visit, and no non-essential tracking runs until you accept. You can decline and continue using the site.

Google Analytics 4 is deployed with Google Consent Mode v2 in a denied-by-default state: unless you actively grant consent through our on-site controls, GA4 operates in cookieless, anonymized-ping mode and does not set client-side identifiers on your device.

Our contact form sends the information you submit directly to HubSpot's forms service. We do not include HubSpot tracking-cookie identifiers in form submissions from this site.

Certain embedded third-party content (for example, embedded videos) uses a per-component consent control: a placeholder appears with a “Load content” option, and the third-party content loads only after you accept. Your choice is stored locally in your browser.

6. California Privacy Notice

If you are a California resident, you have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act. In the last twelve (12) months we have collected the following categories of personal information: identifiers (name, email, phone, IP address); contact and customer records information; commercial information (services requested or considered); internet or other electronic network activity information; approximate geolocation derived from IP address; professional information you provide; and information you provide in communications or project inquiries. We collect these categories directly from you, automatically through the website, and from the other sources described in Section 2. We use them for the purposes in Section 3 and disclose them to the categories of parties in Section 4.

Information lawfully made available from government records, such as building-permit filings, is treated as publicly available information under California law.

We do not sell personal information for money. We do not knowingly sell or share personal information for cross-context behavioral advertising, as those terms are defined under the CPRA, and have not done so in the preceding twelve (12) months. We do not knowingly collect or sell the personal information of consumers under 16 years of age. If we receive a Global Privacy Control signal in a context where it applies, we treat it as a valid opt-out request; because we do not sell or share personal information, the practical effect is to confirm that no sale or sharing will occur. If our practices change, we will update this policy and provide any legally required opt-out mechanism before the new practice begins.

You have the right to know what personal information we collect, use, and disclose; the right to request deletion; the right to request correction; the right to opt out of sale or sharing; the right to limit use of sensitive personal information where applicable (we do not collect sensitive personal information or use personal information to infer characteristics about you); and the right not to be discriminated against for exercising these rights.

7. Your Choices and Requests

To exercise any privacy right, contact us at info@vrchitects.com with the subject line “Privacy Request.” Include enough information for us to verify your identity, such as your name and the email address or phone number associated with your interactions with us. We will acknowledge your request within ten (10) business days and respond within the timeframes required by law (generally 45 days, with one possible 45-day extension where reasonably necessary). You may designate an authorized agent to submit a request on your behalf; we may require written authorization and direct verification of your identity.

To stop marketing outreach: use the unsubscribe link in any marketing email, tell us during any call, or email info@vrchitects.com. You may also use browser settings to limit cookies or other local storage, though some site features may not function as intended.

8. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, maintaining business records, resolving disputes, enforcing agreements, and complying with legal obligations. Project records and architectural drawings are retained for longer periods consistent with professional-practice requirements and applicable statutes of limitation. Outreach lists are refreshed periodically, and we remove contacts who have asked not to hear from us.

9. Data Security

We use reasonable administrative, technical, and organizational measures intended to protect personal information. However, no website, network, or storage system is completely secure.

10. International Visitors

If you access the website from outside the United States, your information may be processed in the United States or other jurisdictions where our service providers operate, including the European Union (our CRM provider's hosting region).

11. Children

Our website and services are not directed to children under 16, and we do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date. Material changes will be communicated through a prominent notice on the website.
